Planning guide

A useful webinar follow-up starts with what you promised

Plan a clear recap, replay, and next step that serve the audience after the live session.

The follow-up should help someone use the lesson. Start with the resource or next step you promised during the webinar, then make it easy to find. Keep the message relevant to the communications people signed up to receive.

Prepare the first message before the session.

Draft the structure while the presentation is fresh in your mind: a short recap, a link to the resource, and one next step. Leave space to add an actual audience question or a clarification from the live session. Check the replay before sharing it, including the beginning, audio, screen share, and any private information that may have appeared.

Choose a useful reason for each message.

  1. Deliver: Send the promised replay or resource with a short explanation of what it helps the reader do.
  2. Clarify: Answer a question that came up during the webinar and point to the relevant part of the lesson.
  3. Invite: Explain an appropriate next step, including the offer details if there is a paid option.

This is a planning structure, not a requirement to send three emails. Use the number of messages that fits the session, audience expectations, and the permission you have.

Write the recap in plain language.

Illustrative recap

In today’s workshop, we turned a broad topic into one audience, one useful outcome, and three lessons. Your next step is to write the invitation before designing the slides. Open your planning worksheet, fill in those four parts, and check whether the promise matches what you can teach.

Replace the details with what your session actually covered. Do not say someone attended, watched the replay, or asked a question unless you know that happened.

Make deadlines real and specific.

If access or an offer ends, state the date, time zone, and what changes afterward. Do not create a countdown that restarts for each visitor while claiming a fixed deadline. If there is no deadline, explain the benefit of taking the next step without inventing urgency.

Measure the result you intended.

For an educational session, look at resource use, replies, or the action attendees complete. For a sales session, track orders, refunds, and delivery costs alongside attendance. Avoid treating an email open as proof that someone understood the lesson or wants to buy.

Keep the presentation checklist with your outline so follow-up is part of the plan from the start.
